The Woonsocket Board of Education met in special session on January 17th, 2018, at 6:00 p.m. in the Commons Area of the Woonsocket School.  Members attending were: Jason White, Lisa Snedeker, Todd Olinger, Jodi Doering and Neal Hiemstra.  Others attending were Superintendent Rod Weber, Paula Lynch, Representative Chris Brockevelt from Koch-Hazard Architects and Representative Paul Doohen of G&R Controls, various interested parties in the bid process for the elementary addition project, and Chris Selland. The meeting was called to order at 6:00 p.m.

On a motion by Lisa Snedeker, seconded by Jodi Doering, the Board approved the meeting agenda as presented.   Motion carried.

Motion was made by Jodi Doering, with a second by Todd Olinger, to approve Koch-Hazard Architects/G&R Controls to run the bid opening for the Woonsocket Elementary Addition project with possible motions to follow.  Motion carried.

Bids were opened and tabulated as follows:

G&R Controls: G&R Controls (Design/Build Contractor bids – electrical, plumbing, mechanical), Base bid $213,199.00, Alternate #1 (sink) $1,078.00, Total with alternate $214,277.00; *Westendorf Electric – included in base bid; *Krohmer Plumbing  –  included in base bid; *Beate-Forseth (HVAC.) – included in base bid; *indicates low bid received by G&R Controls.

Because G&R Controls had been selected as the Design/Build Contractor  through the request for proposals process, they were entitled to the above contract and were responsible for receiving bids from the subcontractors as listed above.

Koch-Hazard Architects (General Contractor bids – architectural, structural, civil) – Base bid, Alternate #1 (floor tile), Total with alternate:

Complete Contracting $632,155.00, $19,801.00, $651,956.00;

Sunkota $565.000.00, $13,000.00, $578,000.00;

Tellinghuisen $563,000.00, $11,100.00, $574,100.00;

Mueller Lumber, $654,900.00, $13,300.00, $668,200.00.

All bidders provided the necessary bond required and the four addendas.

Other required costs for the project that the District would be directly responsible for include:

Architect Fees (payable to Koch-Hazard): $33,700.00;

Consultant Fees for mechanical eng. (payable to Associated Cons. Engineering): $10,500.00;

Estimated construction testing (payable to Geotek): $15,000.00;

Possible estimated asbestos abatement –  (payable to Snow & Associates): $2,000.00;

Total additional costs for the project: $61,200.00.

This would bring the total project cost as planned with both alternates to $849,577.00.

Motion was made to approve a special board meeting on Monday, January 22, 2018, at 7:30 p.m. in the Distance Learning room of the Woonsocket School. The purpose of the meeting is to discuss the financing options regarding the elementary addition project now that the bids have been received. Motion carried.

Motion was made by Jodi Doering, with a second by Todd Olinger, to approve Schoensfish, Inc., to perform the 2016-2017 school year audit. Motion carried.

It was moved by Todd Olinger, with a second by Jodi Doering, to approve wrestling official pay of $125.00 plus mileage to Clark Slykhuis for the January 25th, 2018, wrestling match to be held in Woonsocket. Motion carried.

There being no further business to come before the Board, the January 17, 2018, special board meeting of the Woonsocket Board of Education was adjourned at 6:39 p.m. on a motion by Neal Hiemstra, with a second by Jodi Doering. Motion carried.
